Workflow Status
The Workflow Status system helps you manage the review and approval process for your product content.
Status Types
Pending
Default status for new products
Products with Pending status:
- Have been processed by AI
- Are waiting for initial review
- Need someone to check the content
Review
For products needing closer attention
Use Review status when:
- Content needs a second opinion
- There are questions about accuracy
- Multiple people need to review
Approved
Content is ready for use
Approved products:
- Have been reviewed and verified
- Are ready for export or integration
- Can be published to your e-commerce platform
Rejected
Content needs revision
Reject products when:
- Content is inaccurate
- Descriptions don’t match images
- Quality doesn’t meet standards
Changing Status
From the All Products View
- Find the product in the view
- Click the status dropdown in the row
- Select the new status
- Confirm the change
From Product Details
- Open the product detail modal
- Click the status badge at the top
- Choose the new status
- Confirm the change
Status Filters
In the All Products View, filter by status to:
- See all Pending products for review
- Find Rejected products to fix
- View Approved products for export
Workflow Best Practices
For New Products
- Review Pending products daily
- Check content accuracy
- Verify images match descriptions
- Approve or reject promptly
For Rejections
- Regenerate content with updated instructions
- Re-review after regeneration
For Approvals
- Verify all required fields
- Check all languages if multi-language
- Confirm attributes are accurate
Team Workflow
- Use Review status for handoffs between team members
- Check rejected items regularly
Integration with Export
Many integrations only export Approved products:
- E-commerce connections sync approved items
- CSV exports can filter by status
- API queries can filter by workflow status
